Program & Event Facilitator Position & Project Description
The Program & Event Facilitator position is an 18-month part-time contract that will play a critical role in the Community Race Relations Committee (CRRC)’s Resilient Communities Project by working with the project team to fulfill the objectives of the project.
*It is critical that for this project, the successful candidate commits to the employment contract term of 18-months.*
The key objectives of CRRC’s Resilient Communities Project are to:
- Build capacity within the organization through medium- and long-term planning to address the new organizational needs related to COVID-19
- Provide support for staff and volunteers to adapt to the impacts of COVID-19
- Adapt and add new programs and service delivery to respond to the changing needs of the community because of COVID-19
For this project, there are two types of programs and events: 1) for staff, volunteers and board members, and 2) for stakeholders and community members.
Programs & events for staff, volunteers and board members include:
- Professional development, skills training, and team-building events
- Co-creative health & wellness program for staff and volunteers
Programs & events for stakeholders and community members include:
- Community consultations and research
- Community programming with equity-centered approach to Covid-19 recovery
- Advocacy program for racialized individuals and families in Peterborough
In this role, the Program & Event Facilitator will:
- Support the team coordinators in CRRC’s program development and event planning.
- Design, plan and lead CRRC’s program delivery and event facilitation.
- Co-create and participate in CRRC’s capacity building activities: team building, professional development and skills training.
- Work with the team to collect project data and produce three (3) reports:
- Project check-in & update (informal update due January 2023)
- Progress report (Due August 2023)
- 18-month final report (Due March 2023)
- Fulfill and maintain general responsibilities and expectations associated with the role and working environment.
Position Activities, Roles & Responsibilities
Support Program Development & Event Planning
- The successful candidate will work with the project coordinators in a supporting role with program development and event planning at various stages throughout the project term.
- Supporting activities include, but are not limited to:
- Preparing and facilitating program and event planning meetings with staff, volunteers, and community partners.
- Working with the project team to
- prepare, plan, review and/or edit communications and promotional materials for programs and events.
- Source quotes from venues, vendors/caterers, speakers, etc. for programs and events, and present them to coordinators during planning meetings.
- Book venues, vendors/caterers, speakers, etc. for programs and events.
Designing and Implementing Program Delivery & Event Facilitation
- The successful candidate will work with the project team to
- gather and present research, generate content, and plan for program delivery and event facilitation.
- prepare, plan, review and/or edit agendas and activities for program meetings and events.
- During the research, consultation and reporting phases of the project, the successful candidate will help the coordinators prepare and distribute data collection tools, and facilitate data collection processes including 1:1 and group interviews, surveys and polls, literature review, panels etc.
- The successful candidate will:
- produce scripts and prompts for event MCing, interview and consultation questions, panel questions, open dialogues, and other interactive activities that require scripting and prompts.
- lead the facilitation design in the event planning and program development processes while working with the team coordinators.
- implement program delivery and event facilitation for all or majority of the programs and events planned for this project term.
- be primarily responsible for leading/co-leading programs, events and workshop facilitation for community events, and for facilitating internal events for staff, volunteer and board members.
Team Building & Professional Development
- Quarterly team building, professional development and skills training sessions are scheduled for October 2022, January, April, July and October 2023, and January 2024.
- All project staff are required to co-design and participate in the quarterly team building, professional development and skills training sessions.
- The successful candidate will work with the project team to design, coordinate and facilitate these sessions.
- All staff members will be trained and oriented for project reporting, relevant to their position and capacity, and in alignment with the project reporting expectations and guidelines.
- The successful candidate will maintain an organized data collection folder based on the project reporting guidelines. The data will be collected on an ongoing basis, and will need to be updated regularly throughout the project term.
- The data will be presented three times throughout the project term, once informally (January 2023) and twice formally (Progress report in August 2023, and Final report in February 2024)
- Tools for successful reporting and data collection will be provided by the employer, along with ongoing support from the program coordinator throughout the project term, as needed.
- All data reporting and presentation will be developed as a team.
- The successful candidate will be responsible for:
- compliance with the position contract
- setting and communicating their weekly schedule and office hours
- maintaining and updating an organized work plan
- maintaining and updating an organized record of completed tasks
- responding to emails and other forms of communication within an appropriate turnaround time relative to their availability and work schedule
- attending and facilitating team meetings and providing project updates
- managing a personal budget of $600 for office supplies to be spent throughout the project term (no more than 15% of budget can be spent on office/desk decoration)
- working with the coordinator to set goals and objectives to fulfill the roles and responsibilities for their position
- seeking/requesting support with position role and responsibilities as needed
- communicating work/job related concerns including but not limited to challenges and obstacles on the job, risks and indicators of burnout, risks and indicators of workload overwhelm, and concerns involving workplace conditions or environment.
Skills & Qualifications
Background, Training, and Experience
The minimum experience required for this role is designed to ensure candidate success in fulfilling the job roles and responsibilities assigned for this project. Where the candidate can demonstrate that they are experientially capable and dependable to fulfill the position roles and responsibilities without ALL the minimum experience required, they are still invited to apply for the position.
- The successful candidate will have a minimum of 1-year volunteer or employment experience in the non-profit sector.
- They must have lived/living experience as a racialized individual and experience working with racialized communities in a volunteer or professional capacity.
- They must have either:
- a minimum of 1-year employment experience in program and/or event facilitation, coordination, planning, or similar role.
- OR must demonstrate that they have developed the sufficient skills required for program and/or event facilitation, coordination, planning, or similar activities/functions, through training or lived experience.
- They must have education or training (completed or ongoing) in a field that covers social justice themes and concepts embedded in the program curriculum, for example: community development, humanities and social sciences, Indigenous studies/sciences, cultural studies, gender studies, international development etc.
- Self-learning journeys may be accepted as a training experience qualification if the candidate can demonstrate a basic understanding of concepts such as anti-racism, anti-oppression, equity and inclusion, accessibility, social justice, gender justice, racial justice/racial healing, decolonization, intersectionality, social organizing and social activism, community care and other related concepts.
- They must have a minimum of 12-weeks (or 1-semester) of employment or educational experience in basic research, data collection, report writing, and presenting content.
- They must be knowledgeable of performance monitoring methods for events and have the ability to create reports to guide future program and event planning improvements.

Conditions & Workplace Settings
Flexibility to work-from-home and in the office located at the Sadleir House in Downtown Peterborough at 751 George Street North, Office 102.
Attendance/participation at programs and events is required for this position, event settings may be virtual or in-person. Access to reliable transportation is required for in-person events. Accommodations will be fulfilled upon request.
